Grant Readiness Checklist for Creatives

A strong grant application begins before the application opens. It begins with a project that is clear enough to explain, budget, schedule, and measure.

1. Define the project

  • Write the project in one sentence.

  • Identify the people or community the work is intended to serve.

  • State the problem, opportunity, or creative goal the project addresses.

  • Define what will happen, where it will happen, and when.

2. Build the evidence

  • Collect past attendance, participation, sales, testimonials, press, photos, work samples, or outcomes that demonstrate your ability to execute.

  • List current partners and what each partner contributes.

  • Document your artistic or organizational track record.

3. Build the budget

  • List every real expense, including artist pay, materials, space, production, insurance, marketing, accessibility, documentation, and administration.

  • Identify committed revenue and funding still needed.

  • Make sure the numbers match the story you are telling.

4. Build the measurement plan

  • Decide what success looks like.

  • Choose a few measurable outputs and outcomes.

  • Decide how you will collect the information.

5. Prepare reusable materials

  • Artist or organization bio

  • Project description

  • Budget and budget narrative

  • Timeline

  • Work samples

  • Partner letters

  • W-9 and organizational documents where applicable

Use the checklist before you apply

Keep these materials in a master project folder. When a relevant opportunity opens, adapt the project to the funder's priorities instead of rebuilding your application system from zero.
